Help for MyCorbu Architectural Bookkeeping
The Invoice Preview table on the Bookkeeping Page is intended to give you a window into how your billings stand. By adding filters and a search you can easily get many types of insight into your billings. The Invoice Preview table is accessed by a menu button on the Bookkeeping Page. This is where it is located. After clicking the menu button, you will see all your time entries grouped by Project-Phases. This is similar to the Project-Phase table on the Projects page, but here each time entry is shown. All of your time entries are grouped by Project-Phase and each Project-Phase has a total for the number of hours and for their value. You can export or print the table. The real benefit is the ability to search and/or filter your data. In the example above the filter has been set for 'Date is during the previous 1 month'. This would be an estimate of how much you invoiced last month. Possibly of more value would be to set the filter to 'Date is during the current month'. This would show you an estimate of how much you will be able to bill this month. Of course everyone needs to enter their time daily for this information to be available. See how to implement Daily Timesheets. The next image shows the filter setup. The filter that you will want to set most of the time is one (or more filters) for the Date. The top two filters in the example demonstrate how to isolate a specific time period. In this case by setting a filter for 'Date is after 11/30/2017' and a second filter for 'Date is before 01/01/2018' you have all the records for December 2017. You might want to do something similar to prepare an invoice. You might even export the data and use it as part of your invoice. See MyCorbu and Invoicing. The third filter is shown just to demonstrate the large number of options that are available for setting date criteria. The other types of filters that can be set are Project-Phase, Level 1 (whose time), Hour, Description. The example below shows a single month being filtered out with two filters as described and also a search applied for a Project name. If you have multiple Project-Phases, they will all appear. Each Project-Phase will have a subtotal and there will also be a grand total. This could be exported and attached as backup to a simple invoice that you prepare, or perhaps an invoice prepared in PayPal or equivalent online payment service. The dollar values that appear in this table are pulled from the "Std Billing Rate" that you set for each of your staff. The screenshot below shows the Rates Table. The Rates Table is found on the Bookkeeping Page under the menu button labeled "Rates & Comp Time". You will note that a History field has been added to the Rates table. This gives you a place to document when and why rates have changed. revised: May 4, 2018 Comments are closed.
