Projects

4/23/2019

Projects are usually design projects that you are working on, but a Project can be anything that you want to track time on. There is no limit to the number of projects that you can have.

Set up a Project just for tracking your non-billable time spent in managing your organization.

Projects can be created by Level 3 Users and by Admins.

Here's how:
  1. Go to the PROJECTS page.
  2. Click the ADD PROJECT button.
  3. Fill out the form that pops up.  Enter a unique project name to avoid intermingling of records. The Project Name is the only data that is required. The remainder of the form can be completed later or ignored.
  4. Check off the project as 'Active'.
  5. Check off whether the project is 'Billable?' or not

Next you will want to add Phases (Project-Phases) for your project.

ADDITIONAL INFORMATION YOU MAY ADD
When you are ready to add more information to your Project, return to the table of Projects and select the 'edit' link for the Project that you want to update. A form will open that looks like this.

Field Descriptions
This is how each piece of information (field) is used.
  • Project Name - A unique name that will be used in reports
  • Project ID - A unique identifier associated with this project, see Project Ref
  • Project Address - The location of the Project
  • Project Description - A place to store information about the Project, e.g. scope
  • Project Type - A place to store a designation by which you can group projects: you may add your own and choose more than one.
  • Client Organization - The name of your client that will appear in bookkeeping: you may add this here, but avoid creating multiple versions of the same client.
  • Mileage Rate - select a mileage rate from those you have created. See Mileage Rates.
  • Reimbursable Expense Markup Factor - a multiplier for invoicing reimbursable expenses. The instructions provide guidance, or see Reimbursable Expenses.
  • Active - Projects are 'Active' when created. By unchecking this box, your project will not appear in some tables to keep the data relevant. This does not delete any records.
  • Billable? - Billable and non-billable projects are treated differently in bookkeeping. Select the appropriate radio button.
